Just for fun - Happy Birthday Clerk Missy Arocha

Congratulations to our hard working Palmetto Bay Clerk Missy Arocha.  Today is her birthday.  

It has been a pleasure to watch her take on the job as clerk for the Village of Palmetto Bay.  I look forward to additional improvements and enhancements to the village. Coming online soon will be a South Miami-Dade Passport services office, by our Clerk Missy Arocha.  I have also had the pleasure of working with her on setting up improved document handling including the implementation of DocuSign.

Congratulations Palmetto Bay Village Clerk Missy Arocha - Has a year gone by already?

Time flies when you are busy improving Palmetto Bay.  It's been over a year since our Village Clerk Missy Arocha has taken over to serve our Village.

Village Clerk Arocha has aggressively pursued many recent council (and her own) initiatives that include improving our village record keeping and communication. Clerk Arocha is working hard to bring Palmetto Bay into the new age in regards to digital record keeping.

The Village Clerk is one of the most important positions of Municipal government. In Palmetto Bay, the position of Clerk is one of the three Chartered positions in the Village appointed by the Village Council. Reporting directly to the Council, the Village Clerk serves as secretary for the Village Council and of the Municipal Corporation. The responsibilities of the Village Clerk in the Village of Palmetto Bay include the following:
 
*Gives notice of all Council meetings to its members and the public, and shall maintain an accurate record of all Council proceedings
*Maintains the seal of the Village and attest the Mayor's or the Manager's signature, as the case may be, on all documents
*Serves as the municipal Supervisor of Elections
*Administers the publication of the Village Code and Charter
*Maintains custody of the Village's vital records including agreements, contracts, minutes, ordinances, proclamations, and resolutions
*Functions as the Information Technology Coordinator
*Manages all Public Information Requests

Click the link above to view the form and substance of the new minutes.  Documents executed in the same manner as these minutes should be searchable, more easily read, more professional and up to the standards that our residents should expect and deserve.  Note, we are NOT using digital signatures for any financial documents. 

Why is this important?  Transparency and the ability to let your computer search for and find what you are looking for.  Please CLICK HERE to review the archived minutes from the April 2016 Village council meeting.  Compare the quality, the readability - and most importantly, the ability to serve for what you are looking for in the document.  This was not a difficult or expensive change to make.  To the contrary, it is easy and efficient to make this change, long overdue.

POD Passing of the Duty Phone - 305-506-7965 - for this weekend. 24/7 communication with Palmetto Bay

Just for fun.  Look who has the Palmetto Bay Duty Phone - 305-506-7965 - for this weekend.  It looks like a political passing of the torch or hot potato (whichever you prefer) as our Village Clerk Missy Arocha takes possession of the Palmetto Bay Duty Phone for this weekend.

One would think she is being handed the US President's nuclear football.

On a serious note - Palmetto Bay has a "Duty Phone" which is used in order to allow residents to reach a member of village staff 24/7 - its our 'after hours hot line' and has been used to report non-emergency events such as Code Compliance, Public Works issues such as debris or storm damage and/or anything relating to Palmetto Bay Parks after hours. I am proud that this phone service was created in my first terms as mayor and continues to this day.

Palmetto Bay - we take our responsibilities seriously.
